Problem Statement

The provider setting has implemented a generic EMR platform, which either did not have necessary processes to support their critical needs or broken processes, which forced them only to leverage the platform as a storage repository rather than leveraging it as their core digital platform. Some of the challenges include but not limited to

Absence of Intake Management Process: Dependency on HubSpot to manage their Patient Onboarding and Patient Intake process, which implies they were doing a force fit of their needs to the features available in HubSpot. Also, challenges with data portability from HubSpot to their existing EMR system were a challenge.

Mental Health Assessment challenges: Inability to record assessments with reference to intake data in the local EMR system caused heavy administrative burden on the clinicians in recording paper-based assessments by manually referring dependent data from multiple sources.

Inability to create personalized treatment plan: Due to the unavailability of treatment plan workflow in the local EMR, plans were never created and maintained at a patient level instead increased the administrative burden of creating a treatment calendar manually rather than scheduling on a recurring basis.

No Group Meeting Settings: The standard appointment scheduling workflow was never built for a group meeting setting, which is an inherent part of mental healthcare process.

Outcome Measurement: Goals management and outcome measurements for each modality were very difficult to track thus leading to less effective treatment strategies and patient outcomes.

The clinician apps were designed more like a mobile app with form factors optimized for tabs so that it is easy and quick to use from an experience point of view for the clinicians.

A dynamic group setting management module was created, which is the core of their program.

A comprehensive Schedule Manager is created that aids in creating scheduling workflows between different care givers including clinical staff and administrative staff both within and between their locations.

The SMART Goals Management framework aids in establishing and tracking goals as part of the treatment plans with a real time dashboard visibility to the patients.

Billing workflow is streamlined to support both out of pocket expenses and insurance billing through a real time integration with Availity.
